In the US alone, 2 million people are diagnosed with cancer yearly. Globally, this number is much higher. Every battle is timed, and companies working on the solution to win each fight are grappling with the harsh reality of cancer diagnosis, where every day matters.

Not long ago, we had the privilege of partnering with a leading global company specializing in oncology and immunology. Once we received the task of developing and supporting an HCP Web Adobe Portal, we knew we had to deliver outstanding results in a short timeframe. Our goals were to:

  • assist the customer in the Adobe Experience Manager development process,
  • enhance the company’s digital transformation,
  • and improve operational efficiency.

As long-standing partners of Adobe, we were more than ready for the challenge. Having assisted multiple companies on their path to digital transformation before, we knew exactly how we would handle the task. Discover how we achieved this in our AEM portal case study.

Client Overview

Our client is a leading global company specializing in the development of innovative therapies for oncology and immunology. With a strong commitment to advancing treatment options — from small molecules to CAR-T therapies and biologics — the organization plays a vital role in improving patient outcomes worldwide. Their work requires a highly reliable digital ecosystem to support complex content pipelines and ensure seamless communication with healthcare professionals.

Challenge

Our client’s primary challenge was managing an ever-evolving content pipeline while ensuring seamless integration and efficiency across their digital HCP engagement platform. The complexity of AEM infrastructure support, combined with a lack of alignment and poor cooperation between streams, affected planning possibilities and created severe budget issues — a common challenge faced by many digital teams when multiple stakeholders are involved.

Uncontrolled third-party dependencies caused the AEM infrastructure to malfunction whenever changes were made or vendors were updated, making even standard updates unpredictable. At the same time, a non-linear business flow and insufficient priority setup led to internal and external conflicts of interest, adding unnecessary tension to day-to-day work.

The frontend–backend connection created its own hidden complexity: visual (marketing) and technical (support) changes often influenced each other, making it hard to adjust one area without disrupting another. Quality assurance became increasingly complex as the solution scaled; unexpected issues, including potential security breaches, added pressure to teams already struggling with visibility and control.

Additionally, resource management lacked standardization. Different contract types and unclear processes meant conflicts around deadlines, priorities, and budgets were almost inevitable.

These challenges created uncertainty, miscommunication, and stress, turning routine tasks into complicated obstacles and making it harder for the client to move forward with confidence. When we commenced our work on the Adobe solution partner portal for healthcare, we knew we had to provide a lot more than just a one-time solution to a problem, but something that would tackle a few challenges at once.

Our Adobe-Based Portal Development Process

Our work with the client followed a transparent, collaborative process designed to bring structure and transparency to a complex AEM ecosystem. Rather than focusing on specific technologies, our approach centered on understanding the client’s challenges, aligning priorities, and supporting them at every stage of the journey. Our process included four key stages.

Adobe-Based Portal HCP Development for Pharma
  1. Discovery. We analyzed the existing AEM infrastructure and its dependencies to understand how the system operated and where bottlenecks appeared.
  2. Decoupling. We eliminated external dependencies, allowing the client to gain full control over their AEM environment.
  3. Audit & traceability. We established a clear record of changes and support actions, giving the client visibility into how their infrastructure was evolving and making planning and decision-making more straightforward.
  4. Global workflow. We streamlined the process for submitting, reviewing, and approving change requests across multiple countries, creating a more efficient and transparent workflow.

Alongside these phases, we also developed a structured content authoring workflow to ensure smooth communication and cooperation. This included creating placeholders in the Digital Asset Management, weekly calls to review priorities and timelines, materials review cycles, and confirming completion with affiliates or publishing teams.

Taken together, this process allowed us to transform a siloed system into an aligned and transparent infrastructure. It supported smoother teamwork, clearer prioritization, and more efficient content creation — resulting in improved cooperation, reduced dependencies, and better control over both resources and workflow.

How Did the Developed Adobe-Based Portal Impact the Client?

Our involvement helped the client resolve multiple issues, simplify website maintenance, and streamline AEM pharma portal development and management processes. With our help, the company was able to handle a high volume of tasks across different priorities with greater speed and clarity. As a result, we not only delivered the Adobe portal, but also achieved an even greater impact.

Improved vendor cooperation

We introduced a workflow and cooperation model with clear metrics and approval processes. This established streamlined operations, better budget control, and alignment between business and web development teams.

Eliminated 3rd-party dependencies

Within 1.5 months, we removed all external dependencies, enabling smoother collaboration and giving the client full control over their AEM infrastructure.

Smooth business workflow

We implemented a clear prioritization model, so each business unit had a defined process for submitting requests. This accelerated development and reduced unnecessary sync-ups.

Enhanced quality control

Our QA team analyzed the infrastructure and introduced a monitoring plan to oversee both system health and the quality of every implemented change.

Seamless delivery change

We designed a delivery process covering deadlines, communication, budget control, and approvals to ensure smooth transitions and predictable results.

Flexible resource management

We created a Resource Management Plan tailored to each contract type. Combined with a Risk Management Plan and improved Technical Documentation, the client gained transparency into resource usage and timely access to needed expertise.

Measured Outcomes After One Year

The client gained full control over their infrastructure and connected systems, enabling informed, visible, and strategic decision-making. We aligned change-request processes and priorities across global and local teams, creating a unified operating model that improved the execution of strategic initiatives.
